TFF #14: AI agents: Less magic, more craft - Your practical guide for everyday SME life

This week we take a deep dive into a topic that sounds like a complex dream of the future to many, but has long been a reality in successful companies: AI agents. The question that is currently on many people's minds: Are they job killers that replace us, or rather powerful tools that make us better?

Our aim is to bring light into the darkness: It's about empowerment, practical applicability and looking ahead, always with the aim of making your SME more successful and your working environment better.

🎙️ You prefer to listen? Here's a short, AI-generated audio summary of this issue:

AI agents: Craftsmanship for SMEs

The myth: AI agents as complex job killers?

The fear is understandable. When we hear about "agents" that plan and carry out tasks independently, the image of an inscrutable danger that makes human labor superfluous quickly arises. The concern that AI will destroy jobs is present.

But the facts from the new PwC Global AI Jobs Barometer 2025 paint a different picture: In AI-intensive industries, the demand for labor is increasing, wages for employees with AI skills are up to 56% higher and in Switzerland the required skills are changing 138% faster than in other occupations.

The clear message: we are not being replaced, we are evolving! Our roles are being upgraded - away from tedious data collection and towards more creativity and strategy. An AI agent provides the "what" in unprecedented depth, but humans provide the decisive "why" and "what now".

The reality: AI agents as a practical trade for your SME

Forget magic, think of a well-equipped crafting kit. An AI agent is basically nothing more than a system that independently plans multi-step tasks for you, uses tools (such as data and APIs) and works towards a clear goal.

Getting started is easier than you think if you stick to proven principles. I have filtered the new practice guides from OpenAI and Anthropic for you - here are 10 directly applicable findings for a successful start:

  1. Just start: Successful agents use simple patterns, not complex frameworks.

  2. Clear goal, flexible paths: Give the agent a clear goal. He will find the way himself.

  3. The human being as co-pilot: Start with cases where you check the results. This creates trust.

  4. Good tools are everything: An agent is only as good as the data & APIs it is allowed to use.

  5. Instructions are the key: Precise instructions (prompts) are crucial.

  6. Focus: Start with an agent for a clearly defined task.

  7. Guardrails are mandatory: Define clear rules right from the start.

  8. Iterate, don't perfect: Improve your agent step by step in dialog.

  9. Think in workflows: Which multi-stage processes in your SME take up time? Perfect candidates!

  10. Check the necessity: Sometimes simple automation is enough.

Your most powerful lever: the "master prompt"

The quality of your instructions is the biggest lever for exceptional AI results. That's why I'm launching our new series today "Prompt of the week" and open our bag of tricks for you!

It starts with a Master prompt for a comprehensive market and strategy analysis. The secret lies in HOW you use it: Give the AI context (e.g. by uploading documents), shape the dialog and be specific.

[PROMPT TO COPY & TEST]

GOAL: Analyze the feasibility for my [product/service] for the target group [your target group] to solve the problem [the problem you are solving]. Analyze the following areas:

MARKET SIZE & GROWTH
COMPETITIVE LANDSCAPE
PRICING STRATEGY & MARGINS
OPERATIONAL FEASIBILITY
MARKETING STRATEGY
RISKS & REGULATIONS
LONG-TERM POTENTIAL
VALIDATION APPROACH (MVP)

OUTPUT FORMAT: Create a structured report with clear headings for each of the 8 areas of analysis. Use bullet points for easy readability.

WARNINGS: Avoid generic statements. Base all claims on the data I provide or publicly available evidence. Focus on actionable insights for an SME.

CONTEXT: [Here you insert the content of your previously uploaded documents or refer to them: business plan, product description, etc.].

[END OF PROMPT]

The impact: what AI agents are already doing for SMEs today

Away from the theory, here are five examples of agents that have already proven their worth with SMEs:

  1. The SME analyst: Analyzes financial data, recognizes trends and makes recommendations for action. (Result: margin +15%)

  2. The reporting agent: Automatically creates reports, logs or CSRD-compliant sustainability reports. (Result: time required for reporting reduced from 3 weeks to 3 days)

  3. The marketing agent: Analyzes market trends and develops data-based campaigns. (Result: turnover +35%)

  4. The sales agent: Qualifies leads and conducts outreach campaigns. (Result: Qualified leads +40%)

  5. The customer service agent: Answers routine requests 24/7 (result: solves up to 70% of all requests independently)

Your next step: From knowledge to action!
